Contract Lead Permanent Full Time - Corporate - Integrated Services Hybrid Position

Position Summary:

Reporting to the Director- Integrated services, the Contract Lead oversees the creation, negotiation, signing and upholding of contracts for Covenant Care and Covenant Living. The Contract Lead will assist in the process of determining the specifications, analyzing proposals, initiating and monitoring and upholding the contracts and maintaining a directory of the organization’s contracts.

As a leader in the organization high level engagement and inspirational leadership is expected to build positive team dynamics, organizational integration and external partnerships with contractors.

In addition, this role demonstrates the ability to develop and maintain respectful and collaborative working relationships with essential stakeholders as a key skill. The ideal candidate will have excellent time management and work prioritization skills.

Primary Role and Responsibility:

  1. Accountabilities:
      1. Act as a primary point of contact between Covenant Care/Living and our suppliers
      2. Identify potential suppliers based on project or service requirements
      3. Assist with the negotiation of contracts, terms and deadlines with vendors and suppliers
      4. Monitor and update relevant departments regarding price fluctuations of goods and vendor pricing
      5. Work collaboratively with the various business units within Covenant Care and Covenant Living sites to build upon, lead and manage the organization’s contract management process, from initial contract creation through to post execution
      6. Work directly with business units to support operational objectives relating to their contract management activities
      7. Develop, support, evaluate and award RFPs, and conduct service delivery audits on contacts for Covenant Care/Living
      8. Support and manage contract approval and execution process (i.e., review, analysis, delegation of authority, conflicts of interest)
      9. Prepare and provide reports to Senior management, as required, with respect to pending contract reviews, analysis of services, difficult or problematic contractual issues in order to facilitate timely resolution and avoid escalation of disputes
      10. Maintain a comprehensive database of existing contracts, required documentation and terms and conditions of contracts
      11. Familiar with document retention policies and best practices
      12. Tracking of contracts in practice and renewals and auto-renewal features of contracts

Performance Measures Include:

      1. Monitoring of contracts and contract terms minimizing risk to the organization
      2. Initiating contracts and renewals in a timely manner
      3. Focus on impact of service delivery to those we serve in both safety and comfort in timely response
      4. Develop partnerships with contracted service providers and oversee the operational delivery of that service in accordance with the agreed upon contract term by conducting service delivery audits
      5. Ensure contracts and supporting documentation maintained

      1. Strong, positive inter-facility relationships
      2. Ensure best ‘Best Customer Service’ standards are in practice at every level and the team members develop a sense of belong to not just their team but the teams they serve on
      3. Collaboratively work with Covenant Care/Covenant Living within organizational priorities
      4. Working collaboratively with Leadership team to ensure that issues are identified and addressed

 

Qualifications:

 

  1. Formal Education
      1. Baccalaureate level education required; or equivalent certificates in Business or education in  procurement contract management
      2. Extended time experience with demonstrated alignment to the areas of expertise required may be considered
      3. A combination of education and experience may be considered
      4. Equivalent cerificates in Business and/or Procurement and Supply Chain managment with focus in contract managment

 

  1. Experience
      1. A minimum of 5+ years’ experience working with various contracts and procurement
      2. Thorough working knowledge of computer software applications including Microsoft Office (Word, Excel and Outlook) required.  A willingness and ability to acquire additional software skills as required
      3. Ability to handle inquiries and assignments with a high level of professionalism and confidentiality required
      4. Excellent interpersonal and verbal/written communication skills required
      5. Strong contract interpretation and analysis skills required to facilitate cost analysis for contracts, and able to research historical costs and trends
      6. Understand contract risks and requirements for different levels of review in alignment with DOFA levels
      7. Work within a team-oriented approach to tasks, and ability to respond and communicate with all levels of staff required
      8. Ability to distinguish independent decisions from decisions that should be referred upward is essential
      9. Ability to maintain strict confidentiality of all sensitive information required

      3. Ability to function in an environment of complexity and change, and to work under pressure to meet tight deadlines

      5. Ability to analyze information and provide clear and supported recommendations to management for approval
      6. Proven work experience as customer service or related manager demonstrating management methods and techniques

      5. Travel may be required in the scope of the role. Attendance at the office may be required. Work form home is supported.
