Position type: Full-time, salaried (40 hours/ week)

Position Overview
The Operations Administrator for GAiN plays a critical role in the day-to-day management of GAiN and provides administrative support to the Water for Life Initiative (WFLI) and Operations team. This role encompasses a variety of tasks including administrating team meetings, managing team events, preparing monthly and quarterly statistics and reporting as well as supporting the overall head office and operations of GAiN. This position requires strong administrative and interpersonal skills and the ability to work independently and on a team.
About the Role
In this role, you will be responsible to achieve the following objectives:
GAiN Operational Support:
• GAiN Team meetings and event logistics are handled efficiently and with attention to detail
• A quarterly report of ministry statistics is prepared, accurately reflecting ministry activities across the organization
• Travel arrangements for GAiN leadership are made accurately in line with ministry needs and travel policy
• Accurate minutes are taken in all-staff meetings
• Corporate plans (mobile phones, credit cards, FedEx etc.) are administered accurately
• GAiN’s memberships in a variety of organizations is maintained (BCCIC, CCRDA etc.)
• General inquiries to GAiN email and the general phone line are handled appropriately and connected to the appropriate staff member
• Incoming GAiN mail is sorted and connected to the appropriate staff member
• International and domestic packages are handled correctly via FedEx/DHL
• Office inventory of equipment is maintained and tracked along with the computer life cycle management
• The GAiN Staff Handbook and organizational chart is managed and up to date
• In-office administrative support is given to remote staff as needed
Water for Life Initiative Team Support:
• Monthly and quarterly statistics are accurately reviewed and reported in the mWater and GAiN Well database systems (specific to WFLI countries)
• WFLI team meetings are managed effectively with accurate minutes reflecting action points and next steps
• Quarterly review of WFLI databases to ensure data integrity
• WFLI Administrative support as needed

• You have a heart to serve the GAiN team through your administrative skills
• You are dependable, organized and detail-oriented, able to track goals, details and data
• You enjoy working in a collaborative team setting but can focus attention on a detailed task
• You have excellent written and verbal skills
• You are able to prioritize your time and handle competing priorities
• You are proficient in Microsoft programs (Word, Excel and PowerPoint) as well as with the Google Suite (email, calendar etc.)
Education and Experience
• Proven ability to work independently and collaboratively with a team
• Experience working in a fast-paced office environment
• An undergrad degree in Commerce or Business Administration an asset
• Job or comparable experience in the international development space is an asset
