We are seeking a Proposal Coordinator to join our growing team. The successful candidate for this new position will be a self-motivated team member, who demonstrates initiative to go above and beyond the task at hand, can effectively multitask and who is capable of handling shifting priorities within a demanding deadline-orientated environment. You will be tasked with ensuring that proposals are delivered to a high standard and in a timely manner for Tatham Managers. Work will be on a wide range of projects including bridges, land development, municipal infrastructure, transportation, water and wastewater, and water resources.  You will be leading the proposal content and writing, development, organization and production of high quality technically sound winning proposals, that will support the success of Tatham Engineering by securing new and continued business.  Your ability to showcase our expertise and capabilities to prospective clients will be key to your success.

Key Responsibilities:

Opportunity Identification

  • Search bid sites (MERX, bids&tenders, Biddingo, etc.) on an ongoing basis for relevant opportunities and RFPs
  • Coordinate completion of a Go/No-Go assessment to determine the viability of the proposal opportunity

Proposal Development

  • Analyze client requirements and Request for Proposal (RFP) documents to understand project scope and objectives
  • Collaborate with cross-functional teams, including various departments and staff within Tatham, sub consultants, partners and other subject matter experts, to gather information and insights necessary for proposal development and assimilate the information in a uniform and coherent manner

Content Creation

  • Responsible for compiling and editing the general proposal content to match the client requirements such as executive summary company information, project management approach, project experience, project team and CVs, etc.
  • Collaborate with the technical teams to create clear, concise, and persuasive technical content that highlights our engineering solutions, methodologies and value proposition

Project Management

  • Manage proposal timelines and escalates when internal deadlines slip, ensuring that all deadlines are met and high-quality proposals are submitted on time

Quality Assurance

  • Review and edit proposal content for accuracy, consistency, clarity and conformity with Tatham standards and requirements of the RFP

Proposal Resources

  • Keep accurate records on proposals in progress, completed, wins, losses, etc.
  • Build and maintain a proposal content library (corporate information, project summaries, staff summaries, CVs, etc.), keeping material up to date and relevant

Key Position Requirements

  • Minimum of 2 years of experience in proposal development or similar environment
  • Previous experience working in Engineering Consulting or Professional Services firms is preferred
  • Ability to work in a team environment, working towards common goals and objectives
  • Excellent communication skills as well as strong English language and writing skills – including attention to detail and ability to proofread and edit material, as well as an aptitude for understanding technical terminology
  • Self motivated with great multi-tasking skills, and the ability to prioritize and show initiative
  • Proficient in all Microsoft Office Programs (Word, PPT, Excel, Outlook, SharePoint, etc.)
  • Excellent time management and organizational skills
  • An interest in graphic design would be an asset
  • Able to travel when required
  • Flexibility to work overtime to meet proposal deadlines as required
  • A positive attitude and willingness to learn while having fun in a fast-paced environment
